Understanding Our Sickness, absence and leave Procedure

1. SICKNESS PROCEDURE

If you are feeling unwell and unable to attend work:

  • Notify Early: You must inform your line manager or designated contact by phone call before 8:00am on the day of absence.

  • Provide Details: State the nature of your illness and expected duration of absence, if known.

  • Documentation:

    • For any absence of 2 days or more, a doctor’s note or official sick letter is required to qualify for paid sick leave.

  • Sick Leave Allowance: You are entitled to a maximum of paid sick days per calendar year as stated in your relationship contract.

  • Monitoring: If your sickness levels exceed 1.92% of working time annually (equivalent to 5 days), you may be invited for a counselling session to assess patterns and offer support where needed.


2. UNPLANNED ABSENCE

For absences not related to illness (e.g., emergencies, family matters):

  • Immediate Contact: Notify your supervisor as soon as possible, explaining the reason and estimated return date.

  • Follow-Up: You may be asked to provide supporting documentation, especially for repeated or extended absences.


3. HOLIDAY REQUESTS

We encourage all employees to take their holiday entitlement to rest and recharge.

  • Annual Leave Entitlement: You are entitled to working days of paid holiday per year, excluding public holidays in line with your relationship contract.

  • Request Process:

    • Submit holiday requests at least 2 weeks in advance in writing

    • Await formal approval from your line manager before making any personal travel plans.

  • Approval Factors: Leave approval is subject to team coverage, workload, and peak operational periods.

  • Unapproved Leave: Taking leave without prior approval may be treated as unauthorised absence and subject to disciplinary review.


4. TIME IN LIEU (TOIL)

Time in Lieu (TOIL) allows employees to take paid time off as compensation for working beyond contracted hours.

  • Eligibility: TOIL may be granted when someone is required to work extended hours or weekends to meet business demands.

  • Approval Required: All TOIL must be pre-approved by a line manager.

  • Record Keeping: Managers and employees are jointly responsible for accurately logging TOIL hours.
