London (PCO) Documents

Document guide: Helping you with the right documents to upload

At Monochrome, we collect certain city-specific documents from drivers to ensure we remain fully compliant with local transport regulations in every area we operate. Each city may have different requirements such as e-hailing permits, municipal taxi licenses, transport union approvals, or driver identification cards, depending on local authorities. These documents help confirm that both the driver and vehicle are legally authorised to operate within that city. By collecting and verifying them, we protect our drivers from fines or suspensions, maintain the trust of our riders, and uphold Monochrome’s reputation as a safe, fully licensed, and professional ride-share service everywhere we operate.

Right to work in the UK

We require all Monochrome drivers operating in London to provide valid proof of their right to work in the UK, such as a passport, biometric residence permit, national ID card, or a share code from the Home Office. This verification is a legal requirement under UK employment and e-hailing regulations and ensures that every Monochrome driver is fully compliant with Transport for London (TfL) standards.

Providing this document helps confirm your eligibility to operate as a professional driver on the Monochrome platform. It also protects you and the company from legal or compliance issues. Your submission must be clear, valid, and in date

Valid UK Drivers License (Front)

We collect driver’s licence details to ensure that every driver on our platform is legally certified to operate a vehicle and meets local regulatory requirements. Your licence must be valid, in date, and not expired at the time of submission — expired licences cannot be accepted. If you submit a temporary driver’s licence, you’ll be granted a limited period to provide your permanent card before your account is paused for verification. This process helps us maintain safety, compliance, and trust for both drivers and passengers across all cities where Monochrome operates.

Valid UK Drivers License (Back)

We collect driver’s licence details to ensure that every driver on our platform is legally certified to operate a vehicle and meets local regulatory requirements. Your licence must be valid, in date, and not expired at the time of submission — expired licences cannot be accepted. If you submit a temporary driver’s licence, you’ll be granted a limited period to provide your permanent card before your account is paused for verification. This process helps us maintain safety, compliance, and trust for both drivers and passengers across all cities where Monochrome operates.

PCO driver badge

We require all Monochrome drivers in London to hold a valid PCO (Private Hire) Driver Badge issued by Transport for London (TfL). This badge confirms that you are officially licensed and authorised to operate as a private hire driver within the city. It verifies that you’ve passed the necessary background, medical, and driving checks required under London’s strict transport regulations.

Submitting a clear image of your PCO badge helps us confirm your licensing status and compliance with TfL’s rules before activating your Monochrome driver account. The badge must be valid, unexpired, and clearly legible.

PCO Counterpart License

We require a valid PCO Counterpart Licence from all Monochrome drivers operating in London to confirm your licensing status with Transport for London (TfL). This document serves as official proof that you are authorised to drive for hire and reward under TfL’s private hire regulations. It contains essential details such as your driver number, licence validity dates, and authorised operating conditions.

Submitting a clear, valid image of your counterpart licence helps us verify that you are fully licensed and compliant with local laws before activating your Monochrome driver account.

V5C Document (Page 2 & 3)

We collect a valid Road Worthiness Certificate or an inspection report from another approved ride-share operator within the last 12 months to ensure that every vehicle operating on our platform is safe, reliable, and meets regulatory standards. This process helps protect both drivers and riders by confirming that vehicles are mechanically sound and suitable for commercial use. The document must be clear, legible, and in date (not older than 12 months from the issue date). If you are submitting an inspection report from another operator, it must clearly display the vehicle registration number, inspection date, and confirmation of passed safety checks. Vehicles without a valid or verifiable roadworthiness record may not be activated until the proper documentation is received.

PCO Vehicle Counterpart License

We require all Monochrome drivers in London to upload a valid PCO Vehicle Counterpart Licence issued by Transport for London (TfL). This document verifies that the vehicle you are using for private hire is officially licensed, inspected, and authorised to operate under TfL regulations. It confirms essential details such as the vehicle registration, make, model, seating capacity, and licence validity period.

Submitting a clear and current copy of this document helps us ensure that every vehicle operating on the Monochrome platform is compliant with London’s private hire standards.

Insurance Certificate (Hire & reward)

All Monochrome drivers in London must provide a valid Hire & Reward Insurance Certificate before activating their account. This specific type of insurance is legally required for private hire drivers and covers passengers, third parties, and the vehicle during commercial journeys booked through ride-sharing platforms like Monochrome.

The document must clearly display the driver’s name, vehicle registration number, and policy dates. Temporary, expired, or unclear certificates cannot be accepted. Submitting a valid certificate ensures that you are fully insured to carry passengers for hire and reward under Transport for London (TfL) regulations

DVLA check code or National Insurance number

We require either your DVLA check code or National Insurance number to verify your driving licence directly through the official GOV.UK database. This allows Monochrome to confirm that you are legally entitled to drive in the UK, that your licence is valid, and that you have no disqualifications or restrictions preventing you from operating as a private hire driver.

Providing this information helps us complete mandatory compliance checks under Transport for London (TfL) regulations. It ensures that every Monochrome driver is properly licensed and meets all legal and safety standards required to drive professionally across London

MOT Test Certificate

We require all Monochrome drivers in London to provide a valid MOT Test Certificate to confirm that their vehicle meets the UK’s road safety and environmental standards. This document ensures your vehicle is mechanically sound, safe to drive, and compliant with Transport for London (TfL) regulations for private hire use.

The MOT must be clear, valid, and in date, with no major defects listed. Vehicles without a valid MOT certificate cannot be activated on the Monochrome platform. This verification process helps protect both drivers and passengers, maintaining high standards of safety, reliability, and trust across London’s roads.

A clear driver photo shown to riders

We collect a clear driver photograph that will be displayed to riders for easy identification and safety purposes. Your photo must show your full face clearly, with no sunglasses, hats, caps, or earpieces. The background should be plain and uncluttered, preferably light-coloured and the image must include the top of your shoulders. Avoid filters, dark lighting, or group photos. This helps ensure riders can easily recognise you when their trip begins, maintaining professionalism and trust across the Monochrome platform.

Proof of your bank account

Please upload a clear document that proves the bank account is yours. Acceptable examples are a recent mini-statement, a screenshot from your banking app (showing the account name), or a bank-issued letter. The important details we must see are: account holder name, account number, sort code (or bank routing number) and bank name. You may hide or blur sensitive items such as balances, transaction lines or card numbers

Clear Image of the Front View of Vehicle

Please upload a clear front-facing photo of your vehicle. This helps confirm your registration number, verify your vehicle’s condition, and ensure there are no unauthorised logos, stickers, or damage visible.

Clear Image of the Rear View of Vehicle

We ask for a clear photo of the rear of your vehicle to confirm your number plate, make, model, and colour. This also helps us check for any unauthorised stickers or damage before your vehicle goes live on Monochrome.

Clear Image of the Left Side View

Provide a full, clear photo of the left side of your vehicle. This helps us confirm the vehicle’s body condition, colour consistency, and absence of any external branding or unauthorised modifications.

Clear Image of the Right Side View

Submit a clear image of the right-hand side of your vehicle. This allows us to verify that the paintwork and panels are in good condition and that there are no unauthorised markings or damages.

Clear Image of the Back Seat Area

Take a photo of the rear passenger area of your vehicle. This ensures your interior is clean, safe, and comfortable for riders. We also check that the seatbelts and upholstery are in good condition.

Clear Image of the Front Cabin Area

Upload a clear image of the front cabin, including the driver and passenger seats. This helps confirm your dashboard and seating area are tidy, professional, and ready to welcome passengers.
