Ways to Make the Most of Your Monochrome Business Account
Running a company means managing dozens of moving parts, and getting your team from point A to point B shouldn’t be one of the headaches.
The Monochrome Business Account turns ride management into a streamlined, self-service experience for admins, with clear visibility and control over how your company moves.
Here’s how to get the most out of it.
1. Start From Your Control Center
Every time you open the business dashboard, you should be able to see where things stand at a glance.
At the top of the dashboard, you’ll find your business name and logo, your account tier, Prepaid, Prepaid + Deposit, or Invoice + Deposit, when the account was created, your account status, your balance, and the number of team members on the account.
Treat this screen as your daily check-in. A quick 10-second glance can tell you whether your account is active and whether your team is ready to book rides.
Tip: Make the dashboard your first stop each morning, especially if you’re on a prepaid tier where your balance can change regularly.
2. Reconcile Faster With the Trips Section
Every trip booked under your business account is available in one searchable list, including the date, time, rider, route, fare, and driver details.
Instead of chasing receipts or manually cross-checking expense reports, use the Trips section at the end of each week or month to review and reconcile your transport spend quickly.
Tip: If you’re on a weekly or monthly invoicing cycle, cross-reference the Trips section with your Invoices section so you can easily confirm the charges included in each billing period.
3. Stay Ahead of Invoices
If your business is on an invoice-based tier, invoices are generated automatically according to your chosen billing cycle, whether weekly or monthly.
You can view invoices in full detail and download them directly from your account, without waiting for your finance team or an administrator to send you a PDF.
Reviewing invoices as soon as they become available gives you time to identify any issues before the due date and helps avoid late-payment problems that could affect your team’s ability to use the account.
4. Keep an Eye on Your Wallet
For accounts with a deposit requirement, the dashboard shows the amount being held, its status, your total spend, and your next billing date where applicable.
For prepaid accounts, your live wallet balance is always visible so you can see exactly how much credit remains.
Tip: Don’t wait until a team member’s ride is declined to discover that the wallet is empty. Check your balance before periods of heavier usage, such as a busy sales week, company event, or all-hands meeting.
5. Set Policies Once, Enforce Them Automatically
This is where a Monochrome Business Account can significantly reduce day-to-day administration.
As an admin, you can configure:
Vehicle classes employees are allowed to book, such as Economy only or Economy + Business.
Spend caps, including an overall company limit and, where supported, individual employee limits.
Per-ride cost caps to prevent individual journeys from exceeding your preferred limit.
